SORTING RECORDS IN A DATASHEET
Sorting Records
Access allows you to sort the records stored in a table based on the values in one or more fields, either
in ascending or descending order. By default, Access sorts records on the basis of ID (AutoNumber) field.
To sort records in a table:
1. Open the table in Datasheet view.
2. Click the column heading of the field on which you want to sort the data.

3. On the Home tab, in the Sort & Filter group, click:
Ascending To sort the data in ascending order (smallest to largest).
Descending To sort the data in descending order (largest to smallest).
Access sorts the data as per the selected option.
To remove sorting from records:
1. On the Home tab, click the Remove Sort button in the
Sort & Filter group.
Access removes sorting from all the records and displays
the datasheet in its original state. 1
Exiting Access
You should exit Access once your work is finished.
To exit Access:
• Click the Close button in the Title bar.
DESIGN VIEW IN ACCESS
The Design view allows you to design the structure of a table in a better and controlled way. It lets
you add fields to a table, specify the data types, and add descriptions for the fields. You can also set
the Primary key and various properties for the fields.
Opening a Table in Design View
To open a table in the Design view:
1. Open the table in the Datasheet view.
2. On the Home tab, click the View down arrow in the Views group and select the Design View
option.
